Process Discovery is for you if at least one of these situations sounds familiar

icon

Uncertainty

You're planning to automate a business process but don't know where to start, which process to prioritize, or how much implementation will cost.

icon

Price discrepancy

You've received quotes from different vendors ranging from $3,000 to $50,000, and you don't understand why the difference is so large or what's actually included in each proposal.

icon

Justification

You need to justify the investment in automation to leadership or shareholders, backed by concrete numbers.

icon

Employee irreplaceability

The process depends on one person. You recognize this as a risk but don't know how to remove it.

icon

Second attempt

You've tried automation before, but the result didn't meet expectations. Now you want to clearly understand the scope before investing the budget again.

icon

Inefficiency

The team spends 30–40% of its time on routine tasks that a system could handle, but it's unclear which processes would deliver the biggest impact.

Process Discovery is a comprehensive business process analysis

Our business analysts examine the process in detail: how it currently works, where delays or errors occur, and which steps can be automated.

Automating a process without prior analysis often results in a system that doesn't solve the actual problem. Process Discovery removes this risk and relies on concrete data. If you continue working with FreshTech, the cost of Discovery is included in your project's implementation cost.

What's included in Process Discovery?

Step 1

Process Interview: an in-depth interview

A business analyst conducts a structured interview with key process participants: who does what, where data is stored, at which stages delays and errors occur, who makes decisions.

We record: all process participants and their roles, the tools currently in use, the full chain of actions from start to finish, non-obvious dependencies, and problem areas of the process.

Step 2

Process Map: an AS-IS diagram of the current process

A visual map of the process: each step, the person responsible, the tool used, time to completion, and handoff points between participants. We mark the areas where errors and delays occur most often, information is lost, or clear decision-making criteria are missing.

Step 3

Pain Points: weak points in the process

We assess the scale of each problem identified in the previous step: how much time the team spends on manual routine tasks weekly, how often errors or delays occur, and how critical the dependency on a specific person is.

This makes it possible to see which problems have the greatest impact on the process and to set priorities for automation.

Step 4

TO-BE concept: what the process will look like after automation

We model the future process based on Spiro: which steps are fully automated, which remain with people, how data is transferred between stages without manual intervention. We justify the technical solution: why this particular approach, and why it's optimal for your case.

We define the sequence: what to do first to get the maximum effect as quickly as possible.

Step 5

Report + commercial proposal

We bring everything together in a single document: an AS-IS diagram, a TO-BE diagram, a list of problem areas and ways to resolve them. Fixed price and implementation timeline.

Final online presentation: we go through the results and answer your questions.

Package of documents after Process Discovery

AS-IS process
diagram

A complete visual map of the current process: steps, responsible parties, tools, completion time, and points of failure and delay. Ready to hand over to any vendor, a new employee, or for a presentation to leadership.

TO-BE
concept

A diagram of the process after automation based on Spiro: what's handled by the system, what remains with people, how data moves between steps. Including justification of the technical solution.

Assessment of process
problem areas

A list of identified problem areas with an assessment of their impact: how much time the team spends on manual routine tasks, how often errors and delays occur, how critical the dependency on specific people is.

Fixed commercial
proposal

Exact price and implementation timeline for automation. Fixed scope of work.

Choose the format that fits your needs

Format 1

Simple Process Discovery

$900
10 days

One specific process: suited if you already have one problem process identified. Now you need to understand how to automate it and how much it will cost.

  • Process Interview with key participants
  • AS-IS diagram of one process
  • Assessment of process problem areas
  • TO-BE concept based on Spiro
  • Fixed commercial proposal

Next step: Quick Process Automation

Format 2

Multi-Process Discovery

$900–1,500
10–15 days

2-4 related processes: suited if you have several related processes or aren't yet sure where to start. For example: customer onboarding + quote approval + payment control.

  • Process Interview with multiple participants and departments
  • AS-IS diagrams for all processes
  • List of problem areas by degree of impact
  • TO-BE concept with implementation priorities
  • Proposal for phased automation

What does this look like in practice?

case №1

Distribution company

Sales 45 people Onboarding

Request: sales automation. The company received three quotes: $8,000, $22,000, and $45,000. Why such a difference was unclear.

What Process Discovery revealed: the problem was in dealer onboarding — the process took 3–4 weeks with a single manager handling it. Sales automation would have cost $22,000+ but wouldn't have solved the problem.

Solution: we automated dealer onboarding for $4,500 in 4 weeks. Onboarding time dropped from 3 weeks to 4 days.

case №2

Financial company

Fintech Internal control Reporting

Request: automation of reporting collection from departments. Every week, an assistant manually consolidated data from 12 sources into a single spreadsheet, which took 6–8 hours.

What Process Discovery revealed: 40% of the time was spent fixing errors caused by different reporting formats across departments. The actual task was to standardize and automate data aggregation.

Solution: we standardized reporting formats and automated data collection. The task now takes about 15 minutes.
